How to manage who receives reports from your practice?

As you use the Proactive Monitoring Tool, your practice will receive several types of reports:

  • Daily Message Delivery Failure Reports (e.g., which messages failed to deliver)
  • Questionnaire Responses (whenever a patient submits one)
  • Recall Execution Reports (whenever a recall runs)

By default, these reports are sent to all administrators. However, you have full control over who receives them. This guide explains how to update recipient settings for different report types.

💡 You can use an Organisation email to direct responses to a shared inbox (see instructions here). 


📋 Questionnaire Responses

To manage who receives questionnaire responses:

  1. Go to the User Management Portal
  2. Navigate to Patient Facing Services
  3. Scroll down to Questionnaires Recipient Email
  4. Select the email address that should receive all questionnaire responses

🔄 Recall Execution Reports

To manage recipients for recall execution reports:

  1. Go to the User Management Portal
  2. Navigate to Automated Recalls
  3. You have two options:
    • Set a Default Reports Recipient:
      • Select from the drop-down menu to receive all recall execution reports
    • Specify a Recipient for Each Recall:
      • Select the relevant Recall Name
      • Click Configuration
      • Choose the email address from the drop-down menu

✉️ Message Delivery Failure Reports

To manage recipients for delivery failure reports:

  1. Go to the User Management Portal
  2. Navigate to Messaging
  3. Scroll down to Delivery Status Report
  4. Choose the email address from the drop-down menu
